We are seeking a Collections Support Specialist, this role is based at our corporate headquarters in Exton, PA.

Duties and Responsibilities

  • Perform administrative duties related to the Repossession Process Order TitlesRun KBB on repossessed vehiclesLoad Certified Mail slips and repossession documents to CollectAnywhereProcess sold paperworkPost sold checksPost Invoices from repossession agentsFile and follow up on Gap/Warranty claims
  • Perform administrative duties related to account maintenance Transfer residual funds to charged off loansPrint Batch lettersProcess and report (to FICS) Charged Off Negative Checking Accounts
  • Respond to Credit Report Disputes through the E-Oscar system
  • Send Batch Letters through Collect Anywhere
  • Prepare and send Daily Delinquency Report
  • Update Collection Department Summary Report (CDR)
  • Send Certified and UPS mail
  • Notify all relevant departments when Bankruptcy notifications are received;perform all risk mitigation tasks (ie. removal of credit lines) on affected accounts.
  • Perform the following bankruptcy tasks as a backup to the Department Paralegal Learn to navigate PACER to research bankruptcy filings/documents/statusesUpdate Chapter 13 and Chapter 7 bankrupt accounts upon Notice of Filing in Episys, Collection Anywhere and Excel SpreadsheetsClose out accounts with collection agencies upon bankruptcy filingClose out repossessions with repo agents upon bankruptcy filingPrepare reaffirmation agreements for attorneys upon written request for auto loansContact members attorneys regarding payment status on bankrupt accounts not in compliance with the planAssist collectors with member inquiries regarding repo/bankruptcy/legal questions
  • Perform tasks pertaining to Legal Action Update account statuses of accounts sent to Citadels attorneys through research of the attorneys databaseReview Mastercard and Unsecured loans for legal placement at the beginning of each monthProcess invoices from Citadels attorneys
  • Perform additional Repossession tasks
  • Place autos for repossession as necessary (backup)
  • Place autos into repossession status upon pickup (backup)
  • Prepare deficiency letters for sold autos
  • Prepare notice to sell letters for repossessed autos (backup)
  • Code Total Loss accounts on Collection Anywhere as reported by Lending, closing repossessions that are active
  • Perform additional Administrative/Collection tasks Process agency payments for loans and shares assigned for collectionsRun workflows to update agency status on closed/returned accountsHandle invoice disputes or accounting discrepancies through research and follow upReconcile GL discrepancies working with Accounting to find errors or missing paymentsSchedule and coordinate arrangements for quarterly collections staff meetingHandle special reports/projects as assignedPrepare Management Reports as assigned
  • Obtain additional training in the following databases to support the defined tasks of the job Dealertrack: Order and track titles/research liensStateNational: Place cars out for repo/skip through 3rd parties outside of regular repossession areas, Research current insurance and CPI claims on members autosEOscar: Process disputes, research past disputes to confirm proper codingPACER: Check status of bankruptcy filings, research plans, pull documents regarding motions filed by Citadels attorneys
  • Qualifications and Education Requirements

    Required work experience - Minimum 1 year similar job experience

    Preferred work experience -Credit Union/Banking Experience. Legal Administrative Experience

    Education - High school diploma required. Associates degree preferred.
